New Student Registration Checklist for University: Documents and What to Do

For registration day, expect to need your printed offer letter, your MyKad, your online pre-registration slip, your academic certificates, a completed medical examination form, passport photos and proof that fees are paid. Polytechnics and community colleges ask for certified copies and the BHEP 1–6 forms on top of that. The checklist attached to your own offer letter always overrides any general list, including this one.

You accepted the offer. The next deadline is registration day, and it goes wrong for one reason more than any other: a missing piece of paper. This checklist is built from new-student guides published for the 2026/2027 session. Prepare with it, then tick off the official list in your own offer letter.

When registration happens

The UPU circulars for the 2026/2027 session set new-student registration for SPM leavers from 8 June 2026 (appeal cases from 21 June 2026), and for STPM, matriculation, foundation and diploma leavers from 17 September 2026 (appeal cases from 1 October 2026). The circulars mark these dates as subject to change, and each university picks its own day. UKM, for example, listed 19 September 2026 for undergraduates.

Your offer letter states your date, time and venue. If you came through an appeal, you are registering later than everyone else, so read the letter twice. Other deadlines are on the key dates page, and the steps for confirming an offer are on the offer page.

Three things differ between institutions, so check them in your own list: how many copies, whether copies must be certified, and whether the document is handed over on the day or uploaded beforehand.

Polytechnics and community colleges use one standard set called BHEP 1–6: personal information with a photo, medical examination report, release of liability, parental consent for surgery, the student pledge, and income verification. Several of these need a parent's signature and a witness, so they cannot be finished the night before.

The week before

  1. Finish the online steps. UPM requires pre-registration on its student portal, including updating personal details, a health declaration and a photo upload, before you print the confirmation slip. UM runs offer acceptance, photo upload, document upload and fee payment through its MAYA portal. UM's 2025/2026 guide warned that an offer lapses and is cancelled if the steps are not completed by the stated dates.
  2. Do the medical examination. Guides from UPM, UNIMEL and the polytechnics accept a government or private clinic or hospital, and the cost is yours. UPM allowed the report to be submitted up to two weeks after registration, but do not count on that elsewhere.
  3. Open the bank account your institution names. UPM required an RHB account because the student card doubles as a debit card under the Kad Prihatin Siswa initiative. Community college guides named Bank Islam.
  4. Pay the fees and keep the receipt. If you cannot pay in time, contact the university before registration day, not after. UKM reported giving 29 new students a deferment of registration fees in 2026/2027 while their PTPTN, scholarship or zakat approvals were pending.
  5. Prepare funding papers. UPM's PTPTN checklist asked for an SSPN account, a PTPTN PIN, a bank account and a copy of the offer letter. See the PTPTN loan guide and the SSPN account guide.
  6. Get copies certified if your list says so. Polytechnic guides list who may certify, such as government officers in the management and professional group, village heads and elected representatives.
  7. Put everything in one file, in the order of the official checklist. Community college guides ask for exactly that.

On the day

  • Dress formally. UPM's guide states it outright for registration.
  • Bring the originals as well as the copies. UNIMEL's checklist says every copy must be accompanied by the original.
  • Carry a black pen. One community college guide requires black ink on all forms.
  • Arrive at the time in your letter and visit every counter you are sent to: registration, residential college, finance, health.
  • Keep every receipt and slip. Photograph each document before you hand it over.
